Terms and Conditions for the Student and Youth Network for College, LLC Tour Guide Services
By engaging with the Student and Youth Network for College (SYNC) tour guide services, you agree to the following comprehensive terms and conditions:
1. Service Description
SYNC provides personalized campus tours and virtual meetings conducted by current undergraduate students at William & Mary. These services are designed to offer authentic insights into campus life and assist prospective students in their college decision-making process.
2. Booking and Scheduling
2.1 Reservation Process: All tour bookings are managed *exclusively through the Acuity Scheduling platform. Users must provide accurate and complete information when making reservations.
2.2 Personalization: Users are strongly encouraged to specify their interests, academic preferences, and any specific areas of concern during the booking process to ensure a tailored and informative experience.
2.3 Cancellation and Rescheduling Policy: No cancellations or rescheduling are permitted within 48 hours of the scheduled tour or meeting. Any changes must be made at least 48 hours in advance through the provided scheduling platform. Failure to comply may result in forfeiture of the tour opportunity.

2.4 We offer add-ons to regular tour bookings. Those are defined as follows, a 30 minute add on adds an additional 30 minutes to a tour or zoom, this add on is limited to strictly time. A 60 minute add on adds an additional 60 minutes to a tour or zoom, this add on is limited to strictly time. A lunch add on adds 30 minutes to an on campus tour for the purpose of spending the additional 30 minutes getting lunch. The additional price associated with getting lunch does not cover the expense of the meal. All tour recepients will pay in person for there meals. Payment for these meals are not associated with SYNC.
3. Tour Conduct and Expectations
3.1 Code of Ethics: All participants, including prospective students and accompanying individuals, are expected to adhere to the following code of ethics:
- Honesty and Integrity: Maintain truthfulness in all communications and actions, refraining from any form of deception or misrepresentation.
- Respect and Dignity: Treat all individuals, including guides and other participants, with respect, courtesy, and dignity, regardless of their background, position, or beliefs.
- Compliance: Adhere to all applicable laws, regulations, and SYNC policies throughout the tour or meeting.
- Fairness and Equality: Promote equal opportunities and fair treatment for all, actively working to eliminate discrimination and bias.
- Confidentiality: Respect the privacy of guides, other participants, and any confidential information shared during the tour.
- Professionalism: Maintain high standards of conduct, including punctuality and appropriate behavior.
- Ethical Decision-Making: Make choices based on ethical principles, considering the impact on all parties involved.
- Cultural Sensitivity: Respect and value cultural differences, promoting an inclusive environment.
3.2 Safety and Appropriateness: SYNC reserves the right to terminate any tour or meeting immediately if the guide perceives inappropriate behavior, feels uncomfortable, or if any participant engages in actions that compromise the safety or well-being of others.
3.3 Accessibility: SYNC strives to accommodate individuals with accessibility needs. Users must communicate any specific requirements during the booking process to ensure appropriate arrangements can be made.
3.4 Campus Boundaries: For safety and liability reasons, all on-campus tours must remain within the designated William & Mary campus boundaries. Venturing off-campus is strictly prohibited.
3.5 Respect for Guides: Participants must maintain respect for guides at all times, recognizing their role as student contractors providing valuable insights. Any form of harassment, including but not limited to sexual harassment, verbal abuse, or intimidation, will result in immediate tour termination and potential ban from future SYNC services.
4. Privacy and Confidentiality
4.1 Data Protection: SYNC is committed to protecting user privacy. Personal information collected during the booking process will be used solely for tour-related purposes and will not be shared with unauthorized third parties.
4.2 Confidentiality: Tour guides are bound by strict confidentiality agreements regarding user information and tour content. Participants are likewise expected to respect the privacy of guides and other tour members.
5. Liability and Disclaimers
5.1 Independent Entity: SYNC operates as an independent entity and is not affiliated with or endorsed by the college of William & Mary.
5.2 Liability Limitation: The Student and Youth Network for College, LLC is not liable for any actions, statements, or conduct of individual tour guides during tours or meetings. Participants assume personal responsibility for their safety and belongings during the tour.
5.3 Information Accuracy: While SYNC strives for accuracy, we cannot guarantee that all information provided during tours is up-to-date or error-free. Prospective students are encouraged to verify critical information with official university sources.
5.4 In case of emergency, all scheduled tours will be immediately suspended until further notice. The safety and security of our contractors, visitors, and premises take precedence during emergency situations. Normal tour operations will resume only after the emergency has been fully resolved and it is deemed safe to do so by authorized personnel.
6. Intellectual Property
6.1 All content, materials, and information related to SYNC tours, including but not limited to tour routes, presentation materials, and guide training resources, are the exclusive property of SYNC. Unauthorized use, reproduction, or distribution is strictly prohibited and may result in legal action.
7. Termination of Services
7.1 SYNC reserves the right to refuse service to any individual who violates these terms and conditions, engages in behavior deemed inappropriate or disruptive, or fails to comply with guide instructions during the tour. This includes, but is not limited to, instances of harassment, discrimination, or any actions that compromise the safety and well-being of guides or other participants.
By proceeding with a SYNC tour or meeting, you acknowledge that you have read, understood, and agreed to these comprehensive terms and conditions. You also confirm that you will abide by the code of ethics and maintain respectful behavior throughout your interaction with SYNC services.
